Job Description

Responsibilities

  • Serve as the Administrative Assistant to the Vice President/Chief Nursing Officer and/or Vice President/Chief Financial Officer.
  • Provide administrative support to Nursing Supervisors and Clinical Coordinators while overseeing clerical operations within Nursing Administration.
  • Report directly to the VP/Chief Nursing Officer or VP/Chief Financial Officer.
  • Prepare and process documents for Nursing Administration, including meeting minutes, policies and procedures, check requests, job postings, and leave requests.
  • Maintain departmental records, including payroll processing and timekeeping systems.
  • Support nursing staff by assisting with check requests and reviewing expense reports prior to approval signatures.
  • Manage incoming and outgoing hospital mail, including postage machine supplies, maintenance, and service requests.
  • Act as a liaison between Nursing Administration, hospital departments, employees, medical staff, and external organizations.
  • Coordinate calendars, meetings, appointments, travel arrangements, email communications, and software-related support.
  • Organize and document departmental meetings by preparing agendas, distributing materials, recording minutes, and developing presentations.
  • Provide administrative assistance to the President/CEO and VP/COO as needed or during the absence of their Administrative Assistant.
  • Assist the Chief Nursing Officer and Chief Financial Officer with daily administrative functions, including call screening, correspondence management, scheduling, and travel coordination.
  • Perform general office and secretarial duties, including ordering office supplies and maintaining departmental software systems.
  • Participate in performance improvement initiatives and continuing education activities.
  • Maintain dependable attendance and punctuality.
  • Perform additional duties and special projects as assigned.
